Challenge

The company's software systems did not integrate, resulting in a "Frankenstein model" with bolt-on systems. The decentralized organization allowed divisions to choose their own software, leading to multiple disparate systems that did not work together. Employees worked in software silos, causing communication breakdowns and redundant manual entry.

For example, the onboarding system did not communicate with the HRIS or applicant tracking system (ATS), so onboarding new hires required manual paperwork. This became a significant challenge when onboarding hundreds of employees in a single week.

The company needed a full suite solution—including ATS, Onboarding, Core HR, Learning Management, and Benefits—that integrated with Sage. It chose Arcoro.

Solution

The company implemented Arcoro’s ATS, Onboarding, ExakTime, and Core HR software. Core HR integrates with Sage 300, simplifying employee data management. Arcoro’s Core HR feeds employee data (demographics, pay IDs, deductions, tax information) into Sage 300 CRE, streamlining payroll processing and keeping benefits deductions, direct deposits, taxes, and more in sync. This payroll integration saved about eight hours per payroll person per week, totaling 24,000 hours per year for the entire payroll team.

New employee data is also integrated with ExakTime for time tracking, ensuring information is accurate and up to date without manual intervention. The HR team no longer had to manage timecards submitted via email.

To support internal development and encourage career growth, the company added Arcoro’s Performance Management, Learning Management, and Succession Planning modules. These provided leadership and compliance training as well as 9-box matrix review modules.

Before implementing Arcoro’s Succession Planning, the company used spreadsheets to track employees ready for promotion. The software modules allowed them to identify five desired leadership behaviors and tie those behaviors to the performance management module.
